Box is a cloud content management and file-sharing service for businesses. Users can determine how their content can be shared with other users. Users may invite others to view and/or edit an account's shared files, upload documents and photos to shared files, upload documents and photos to a shared file's folder, and give other users rights to view shared files.

Your Auburn Box account can be accessed in the following ways:
Box offers two primary ways to share content: Collaboration and Shared Links. Each method serves different purposes and offers distinct features. Below is an explanation of each method to help you choose the best option for your needs.
Collaboration
Collaboration involves inviting individuals to a file or folder, granting them various levels of access. Key points for collaboration include:
- Access Requirements: Collaborators must have a Box account to access the content.
- Permissions: Depending on the assigned role, collaborators can view, edit, upload/download, and receive updates on the content.
- Ideal Use: Collaboration is best for long-term projects requiring detailed interaction and ongoing updates.
- Roles: Box offers different roles such as Viewer, Editor, and Co-owner, each with specific permissions.
Instructions for Inviting Collaborators in Box:
- Open Box at auburn.box.com and locate the folder or file you wish to share with a collaborator. Hover over the file or folder and click "Share" (Arrow icon).

- In the “Invite People” field, enter the email of the individual(s) you would like to invite, and use the down arrow next to “Invite as Editor” to adjust the role of the collaborator (editor, viewer, etc.).

- Include a message and click “Send.” The collaborator will receive an email inviting them to access the file or folder.

Shared Links
Shared Links provide a unique URL to access specific files or folders. Key points for shared links include:
- Access Requirements: No Box account is needed to access the content via a shared link.
- Permissions: Typically, shared links offer "read-only" access, but permissions can be customized.
- Ideal Use: Best for sharing content with internal or external users without granting editing rights.
- Customization: You can set expiration dates, passwords, and download permissions for added security.
Instructions for Sharing Links in Box:
- Open Box at auburn.box.com and locate the folder or file you wish to share. Hover over the file or folder and click "Share" (Arrow icon).

- In the pop-up window, click "Create Shared Link" to toggle it on.

- Here, you can change the settings of who can access the link and the link permissions (can edit, can view and download, or can view only). You can also select "Link Settings" to customize the link (link expiration date, allow downloads, etc.) if needed. Copy the link and share it via email or any other communication tool.
