Overview:
What is Multi-Factor Authentication (MFA)?
- Multi-Factor Authentication (MFA) protects the personal information of users by requiring additional approval from a registered device when accessing private information or resources, such as email. Instead of just using a password to log in, MFA keeps your data safe by adding extra safety steps.
What is Microsoft MFA and the Microsoft Authenticator App?
- Microsoft MFA is required for all Auburn University alumni and retiree email accounts to enhance security and protect user accounts. It is required to access Microsoft 365 resources, both on and off campus. When logging into email, instead of just entering a password, users must approve a phone notification by entering a temporary code from the Microsoft Authenticator App.
- To set up Microsoft MFA for alumni and retiree email accounts, users will need to install the Microsoft Authenticator App from the Apple App Store or the Google Play Store.
- If you are located internationally and are having issues registering for MFA using the Microsoft Authenticator app, please contact the IT Service Desk at (334) 844-4944. The IT Service Desk is available to assist Auburn retirees and alumni Monday - Friday between the hours of 7:30 AM CT - 5:00 PM CT. If you do need to contact the IT Service Desk, please have a valid, government-issued ID with you (i.e. driver's license or passport) for identity verification purposes.
What other steps are needed before I set up Microsoft MFA, and where can I access my email?
- Before you set up MFA using the steps below, retirees and alumni will need to install the Microsoft Authenticator App from the Apple App Store or the Google Play Store.
- Alumni and retirees can access email through Outlook on the Web at outlook.office.com (shortcut is aub.ie/email).
- Alumni and retirees can also access email on a mobile phone device using the Microsoft Outlook App, which can be installed from the Apple App Store or the Google Play Store.
- Please review the Email Overview Knowledge Base Article for more information on accessing alumni and retiree email through the Outlook mobile app or Outlook on the web.
Choose the button below for instructions on setting up the Microsoft Authenticator App. You can choose to set it up while on a computer (if computer, make sure you have your mobile phone with you) or from the mobile phone device that has the app installed.
Setting up MFA on the Microsoft Authenticator App from a Separate Computer:
1. To access your Alumni or Retiree Auburn email account, using an internet browser on a computer, navigate to outlook.office.com (shortcut is aub.ie/email).
2. Enter your Auburn email address (username@auburn.edu) and click Next. (Note: Alumni users who graduated between 2010-2017 will need to use the username@tigermail.auburn.edu email address that they have always maintained.)
3. Enter your Auburn password, and click Sign in.
4. Once logged into your account, you will be brought to a screen that states, "Let's keep your account secure." Click Next.
5. The next screen tells you to install the Microsoft Authenticator app from the Apple App Store or the Google Play Store on your personal phone device. After installing the app on your phone, return to the computer's current screen and click Next.
6. Click Next to set up your account using the Microsoft Authenticator app. Note: If prompted, allow notifications. Then, add an account, and select Work or School.
7. Next, using the Microsoft Authenticator app that you installed on your mobile phone device, scan the QR code that's displayed on your computer screen. This connects the app to your account.
To scan the QR code, open the Microsoft Authenticator app on your personal phone device.
8. Tap the + (Plus) sign in the upper-right corner to add your account.
9. Tap Work or school account.
10. Tap Scan QR code. Tap "Allow" if prompted to let Authenticator access the Camera.
11. Using your smartphone camera, scan the QR code that is displayed on your computer screen, and tap to Allow Notifications.
12. Once you have scanned the QR code on the computer screen, your Auburn email account will display on your phone device within the Authenticator app.
13. Return to the QR code screen on your computer. After you have scanned the QR code, click Next.
14. Once Microsoft Authenticator is connected to your account, you will be sent a test notification on your personal phone device. Microsoft Authenticator uses two-digit "number matching" as part of their authentication process.
15. From your phone device, enter the two-digit numerical code and tap Yes.
16. You will see confirmation on your computer, as well as your personal phone device, that the notification has been approved. Click Done. The screen will then redirect to your Outlook email account.
Logging in to Microsoft Email, Moving Forward, & Backing Up Your Account on Authenticator:
1. You will continue to access your Alumni or Retiree Auburn email account at outlook.office.com (shortcut is aub.ie/email).
2. When using the Microsoft Authenticator app, you will be prompted with an app push notification (displaying a two-digit numerical code) after you enter your Auburn email address and password. After approving the notification, you will be logged into your email.
3. Once the Microsoft Authenticator App is set up for MFA, it is recommended to enable backup of your account in the Authenticator app. Backing up accounts in Authenticator makes it easy to access stored accounts and email services when you get a new phone device. Microsoft Authenticator App Lock Disabling:
When the Authenticator app is installed, App Lock is enabled by default.
- App Lock being enabled means you'll also have to provide your device's PIN or biometric unlock method before successfully authenticating.
- To disable this feature, you will need to access the Settings in the Authenticator app.
- In iOS devices, tap the three vertically stacked lines on the left side of the home screen of the Authenticator app to access Settings.
- In Android devices, tap the three vertically stacked lines on the right side of the home screen of the Authenticator app to access Settings.
- Once in Settings, scroll down to the Security section and toggle off App Lock to disable the feature.
Setting up MFA on the Microsoft Authenticator App from your Mobile Phone:
1. To access your Alumni or Retiree Auburn email account from your mobile phone, open a web browser from the device (i.e. Safari or Google Chrome) and navigate to outlook.office.com (shortcut is aub.ie/email).
2. Enter your Auburn email address (username@auburn.edu) and tap Next. (Note: Alumni users who graduated between 2010-2017 will need to use the username@tigermail.auburn.edu email address that they have always maintained.)
3. Enter your Auburn password, and tap Sign in.
4. Once logged into your account, you will be brought to a screen that states, "Let's keep your account secure." Tap Next.
5. The next screen tells you to install the Microsoft Authenticator app from the Apple App Store or the Google Play Store, depending on your mobile device type. After installing the app on your phone, return to the current screen and tap Next.
6. To pair the Authenticator app with your account, tap the link that says, "Pair your account to the app by clicking this link."
7. Tap Open to open up the Authenticator app and pair your account.
8. You'll see a confirmation screen in the app that the account has been added successfully. Tap OK and then tap the back arrow in the upper-left corner to go back to your web browser screen.
You'll then see the same screen as shown above in step 7 and will Tap Next.
9. From your web browser screen, Microsoft will ask you to try out the authentication process. Make note of the numerical code you see on the screen. Tap Time Sensitive Approve Sign-In? to open the Microsoft Authenticator App.
10. The Authenticator App will launch. Enter the numerical code displayed in your web browser and tap Yes.
11. You will see confirmation on your screen that Microsoft Authenticator has been paired with your email account. Tap Done. The screen will then redirect to your Outlook email account.
