Outlook: How to Add and Adjust Calendar Permissions


In Outlook, users can give other individuals specific sharing permissions to view their calendar. Follow the instructions below to add and adjust calendar permissions. Note: In the example below, the Outlook for Windows desktop app with a Classic Ribbon layout was used.

1. Open the Calendar in your Outlook client. Click the "Home" tab.

2. From the classic ribbon toolbar, click "Share Calendar," then click "Calendar."

3. Click "Add."

4. Type the name of the individual you are sharing your calendar with, and then click the right arrow next to the name.

5. Click "Add."

6. Click "OK."

7. Under Permissions, select your desired level of permissions that you would like the user to have. Details regarding permissions can be found in the Knowledge Base article: Outlook: Overview of Calendar Sharing, Delegation, and Permissions.

In this example, we will select "Can view titles and locations."

8. Click "Apply."

9. Click "OK."

10. Should you need to adjust calendar permissions for a user, repeat steps 1 and 2 listed above to navigate to the Calendar Permissions window.

You can also get to the same Calendar Permissions window by opening the Calendar in our Outlook client, right-clicking on "Calendar" under "My Calendars", and selecting "Sharing Permissions."
