How to Restrict Record Access to an Assignment Group


This guide provides essential steps for restricting access to records in ServiceNow, ensuring that only designated assignment groups can view sensitive interactions and incidents. By following the outlined process, users can effectively manage record visibility, enhancing data security and compliance. Additionally, the guide clarifies how changes to assignment groups affect access, making it a valuable resource for administrators and team leaders looking to maintain control over their records.

INTERACTIONS

1. Navigate to an interaction with in ServiceNow

2. Just above the Assignment Group you'll notice the Restrict Access check box.

To restrict access to this record, click this box so that it is checked, which sets it to true.

3. Now that the Restrict Access check box is checked, save the interaction.

Once it's saved ONLY the assignment group will be able to access this interaction.

4. All other groups that try to access the now restricted interaction will not be able to find it.

In some cases you may receive messages like the one below stating that a record exists, but you do not have access to it.

 

INCIDENTS

5. Just link on the interaction records you'll find the Restrict Access check box above the Assignment Group.

To restrict access to this record, click this box so that it is checked, which sets it to true.

Now that the Restrict Access check box is checked, save the interaction.

Once it's saved ONLY the assignment group will be able to access this interaction.

Alert: If you change the Assignment Group with the Restrict Access checkbox checked, it will be unchecked so the new group will have the ability to restrict the record if they deem necessary.

NOTES

Tip: Where this action does restrict access to the assignment group. Default user access is still applied. The following users and groups have access to a restricted access record.
