Out of office automatic replies in Outlook let you alert senders that you are unavailable by sending a one-time custom response during your absence. You can schedule the dates, set different messages for internal and external contacts, and configure the feature across Outlook platforms.
Click the button below to view specific instructions for setting up auto replies based on your Outlook application:
1. From Classic Outlook on a Windows desktop, select File > Automatic Replies (Out of Office).
2. In the Automatic Replies box, select Send automatic replies.
Optionally, set a date range for your automatic replies. This will turn on and turn off automatic replies at the date and time you enter for the start and end date and time. Otherwise, you'll need to turn off automatic replies manually.
3. On the Inside My Organization tab, type the response that you want to send to colleagues while you are out of the office.
Note: Sending automatic replies to anyone outside my organization will send your automatic reply to every email, including newsletters, advertisements, and potentially junk email. If you want to send automatic replies to those outside your organization, we recommend choosing My contacts only.
4. Select OK to save your settings.
5. Modifying/Turning Off Auto Reply: When Classic Outlook is set up to send automatic replies, you will see a message under the ribbon with the automatic reply notification. Select Turn Off to disable automatic out-of-office replies. If you want to modify the dates for your automatic reply or the message sent, use the steps above to modify your settings.
1. From New Outlook on a Windows desktop, on the View tab, select View Settings.
2. Select Accounts > Automatic Replies.
3. Click Turn on automatic replies to toggle the automatic replies feature on.

5. Select Save to save your settings.

1. Launch Outlook for Mac.
2. Select the Tools menu at the top, and select Automatic Replies.
3. Ensure that the correct Outlook account is selected under Accounts, and toggle on Send Automatic Replies.
4. To send replies during a specific time period, select Set. This will turn on and turn off automatic replies at the date and time you enter for the start and end date and time. Otherwise, you'll need to turn off automatic replies manually.
5. Under Message for inside your organization, enter your automatic reply.
6. To set options for replying to people outside of your organization, check the box next to Message for outside your organization, then select Send only to my contacts or Send to everyone, and enter your automatic reply.
7. Once done, close the Automatic Replies window.
1. Open the Outlook app on your mobile device.
2. Tap the round profile icon in the top left corner. and tap the Settings (Gear) icon in the lower left corner
3. Tap Settings (Gear) icon in the lower left corner.
4. Tap Automatic Replies and toggle it on.
5. Configure your automatic reply settings and message.
Tap Reply Within a Time Range and toggle it on to send replies during a set time period. This will turn on and turn off automatic replies at the date and time you enter for the start and end date and time. Otherwise, you'll need to turn off automatic replies manually.
Tap Reply To to choose if you'd like to reply to everyone or your organization (AU) only. Toggle on Use Different Replies to set unique reply messages based on each group.
Tap Reply Inside My Organization With to add a separate message for your internal AU audience.
Tap Reply Outside My Organization With to add a separate message for your external audience (outside of AU).
6. Go back to the main Automatic Replies screen and tap the check in the upper right corner to save your settings.
7. Turning Off Auto Reply: In the navigation pane, select Mail > Tools menu > Automatic Replies > Toggle off next to Send Automatic Replies.
1. Log in to Outlook on the web at outlook.office.com (shortcut is aub.ie/email) using your Auburn email and password.
2. Click the Gear (Settings) icon at the top right of the screen, followed by Account > Automatic replies.
3. Click Turn on automatic replies to toggle the automatic replies feature on.
